Control your Business Risk with a current Policies and Procedures Manual
If, at short notice, one of your key administrative staff members found themselves unable to come to work for at least a week, could a temp walk in and pick up where they left off and reliably carry on with minimal affect to the remainder of the staff and the organisation in general ?
Very few organisations could answer “yes” to this.
The main reason why your organisation may struggle with this scenario, is because it is unlikely that a current Policies and Procedures Manual exists.
Some of you may think … “only big corporations need that type of facility in place” … however, this is not the case.
Whether you have 2 or 500 people, the organisation risks a great deal of down time, inefficiency and therefore unquantified cost, if the “how” (in relation to how things get done), is not easily accessible.
Of course, this is also not just limited to the administrative office – but that is a great place to start.
Policies and Procedures
What are “Policies and Procedures” ?
A Policy is a guideline under which your organisation runs eg: Motor Vehicle Policy : level of cleanliness, does the vehicle get driven home, under what conditions etc
A Procedure is a method by which processes are carried out within your organisation. When applied to the accounting perspective, there is an added level of Best Practice that should also be followed in order to meet your compliances and reducing risk.
Putting this in to practical terms: - How does the banking get done, who should do it ?
- Who enters payable invoices to the system and who pays them ?
EasiTech personnel, with their varied and extensive backgrounds, are well placed to help you document existing procedures as well as identify and help you to minimise any risks.
The creation of the documentation and processes does not have to be hard, nor inconvenient. The manual can be created in stages, which allows for planned internal resource to be made available when suitable to the organisation. EasiTech can take you through the exercise of creating a Policies and Procedures Manual step by step.
A few of the advantages are: - Provides a point of reference for current personnel when required
- Anyone can pick up any given task when others are away on leave, with the added security of knowing that the “how” is in written form … and is current !
- It provides structure to the organisation where both employees and employers know where they stand
- Going through this exercise can often highlight existing risks that you may not even be aware of.
